Event planning and management
A renowned global healthcare organisation sought the support of SWM Partners’ event management experts to handle the end-to-end delivery of two meetings, which related to a study in its early stages of launch.
Here the aim was to bring healthcare professionals together to gain detailed information about the study, learn from their colleagues' experiences to date, and connect in a face-to-face environment.
The Dallas event was designed for a US-based audience, meanwhile the Amsterdam instalment catered to those from countries including the UK, Germany, Poland and Qatar, and both included engagement elements such as Q&As and live demonstrations.
This saw our team oversee all elements of the venue research and liaison process, manage attendee invitations and registration, develop and manage the event app across both sites, and provide ongoing support to both the client team and delegates pre-event, and onsite.
They also devised curated recommendations that were designed to ensure the meetings resonated with their respective audiences. This included opting for different speakers, evolving timings, and adjusting questions during live learning and panel sessions.
Ensuring clear communication in Dallas
The Dallas event was subject to last minute changes due to a flood within a meeting space, and so our team moved swiftly to ensure a smooth transition for all attendees.
They rearranged alternative spaces, and developed signage that ensured delegates could navigate between spaces with ease as the meeting unfolded.
A sustainable focus in Amsterdam
The team suggested Amsterdam – and the specific BREEAM-Excellent certified venue – for the second meeting due to its sustainability credentials, and proximity to local delegates’ home bases.
Here minimal paper, which was eco in nature, was used as the team opted for iPads, electronic wayfinding signage replaced physical assets, water stations reduced the need for plastic bottles, and unused water was reused to sustain the hotel’s foliage.
