Event planning and management
Our event experts recommended suitable locations in which to host each meeting, keeping in mind the anticipated delegate numbers, and their locations.
For the Chicago event, attendees were travelling from the US, Canada, Latin America and Asia-Pacific regions, meanwhile the Dublin meeting was designed for HCPs based in the UK, mainland Europe and South Africa. The team managed all travel and accommodation, ensuring a seamless experience for all.
To drive education, engagement and connection, each meeting featured seven presentations of varying formats, with polling and Q&As woven throughout.
Given that the study had first commenced at the height of the pandemic when only virtual meetings were possible, the client wished to bring delegates together to meet face-to-face. However, we also recognised that not all can physically attend a meeting for various reasons, and subsequently recommended providing access to the meeting content in the form of synchronised slides complete with audio, which were distributed post-event.
Furthermore, as the meetings were held days apart and in vastly different locations, we paid close attention to resourcing. This ensured our team was able to provide the highest level of support onsite, resulting in a positive client and delegate experience.
Medcomms curation and development
Our medical communications team lended their expertise throughout, from briefing to execution. This included agenda support, where they pivoted the agenda between the two meetings to ensure a smooth and cohesive flow, and the best use of time for all.
They ensured all speakers were prepared for their sessions, which involved managing pre-event rehearsals, and formatting content into branded and cohesive slides ahead of time, and onsite in both locations.
Furthermore, at the conclusion of the series, the team provided Q&A logs for both meetings, so that the client had valuable information and data to draw from, which could be used to shape future study focused meetings, content and communications.
Event success
Both meetings, and the complementary content were managed seamlessly by our teams, with feedback from the client very positive. Overall, just under 300 delegates attended them from across the globe.
