Digital strategy and implementation
Our digital experts responded by recommending a wholly bespoke platform, which they built pre-event, and managed on the day.
Here the focus was on ensuring an inclusive experience, and that it could be used by both audiences.
The platform therefore featured Q&A and polling functionalities, and it housed the meeting’s agenda, speaker biographies, case studies and all slide content, the latter of which delegates could add their own notes to. Physical attendees received iPads, which allowed them to access the platform, however it was free from audio, so they could engage with speakers in the room.
They also enlisted videographers to capture the proceedings, and content was fed into the platform for virtual attendees to view, so that they felt as though they were physically present in the room.
The team developed a content strategy that humanised the trial, by recommending that the event steer away from solely displaying content on screen during sessions, and instead include interactive fireside chats throughout, which created an engaging and conversational experience, as a moderator fed questions to speakers in real time.
In addition to presentations by KOLs, the meeting included sessions with real life patients from diverse backgrounds, who openly shared their experiences, so as to provide delegates with a real-world perspective of the study and trial.
The platform was specifically built to provide detailed reporting, so that the client had a clear view of attendee engagement and their overall understanding of the study, meanwhile the note taking functionality was particularly effective, as our team was able to view and redact confidential information from the slides that the client wished to share verbally, yet not in written form.
Event success
The meeting successfully educated delegates, with 63% rating their overall understanding of the study as excellent before it began. At the conclusion of the event, this had risen to 86%.
Engagement was high throughout, with 100% of in-person and 93% of virtual delegates interacting with elements such as polls, quizzes, and slide content, and the bespoke platform facilitated more than 2,200 delegate responses.
Virtual attendee feedback included: "This is great!!! I wish all meetings were like this. All the presenters rock" and "The meeting was excellent! It was very informative and interactive and I loved the panels."
Comments from the in-person audience included: "It’s been a fantastic meeting so far. It has been pitched really well and also presented really clearly. The patient experiences were so powerful” and “I love the iPad to take notes."
