Project overview

SWM Partners was selected to plan, manage and produce a range of communications for a hybrid investigator meeting series, on behalf of a leading healthcare company.

Events in the series were rolled out across more than 50 countries, and involved over 4,000 trial participants.

Rolling out a global investigator meeting series

We brought a hybrid investigator meeting series to life across multiple countries. This was complemented by study support materials, developed by our scientific experts

Event management

We planned and managed all meetings, and to ensure optimal attendance, developed a schedule that saw the events coincide with key congresses and other meetings related to the study’s therapy area.

As the meetings were taking place in different regions, our event management team also recognised that it was important to plan each with respect to key cultural nuances, and developed tailored delegate communications accordingly.

Digital event development

With the events taking place over the course of a year, some were held at the height of the COVID-19 pandemic. This meant the meetings were initially virtual, and it’s where our digital experts had an important role to play when it came to platform recommendation, development and management.

They worked closely with our event management team to develop hybrid solutions as pandemic related restrictions eased, providing technical support throughout.

 

Science and data-led communications

Our scientific team developed an overarching event identity that would resonate globally, created a slide template for speakers to utilise, handled rehearsals, and oversaw slide reviews.

They produced a range of study support materials, including referral documents for healthcare professionals, posters for clinics, informative videos for patients, and study summary and partner guides. Given the global nature of the study, they translated content into more than 30 languages.

Event success

We received brilliant feedback from the client, and they were especially pleased with our ability to continuously evolve the meetings and communications.

The response from delegates was also positive, particularly when it came to the opportunity to interact with their colleagues in face-to-face environments.

Following the success of this series, the client selected SWM Partners to develop branding and templates for five additional sister studies. Furthermore, our teams are providing full scientific and event support on one of these additional studies.
