Event planning and management
Our team handled the planning and management of three investigator meetings – two wholly in-person and one hybrid – which were delivered within a month of one another, in Singapore, Barcelona and Orlando.
Each of the meetings were specially designed to ensure local resonance, and as such saw a regional key opinion leader (KOL) deliver a tailored presentation either physically or remotely.
Furthermore, given the various locations delegates in Singapore were travelling from, live simultaneous translation was provided in Mandarin, Japanese and Korean.
Here we sourced specialist medical translators, and three sound proof booths – one for each language – were installed for interpreters to monitor the show whilst providing live interpretation. Delegates were provided with a headset, where they selected their preferred language, to receive the translated information in real time.
The meetings featured a varied mix of session styles depending on the location and delegates’ preferred learning styles, and included presentations, panels, and live Q&As.
Additionally, one of these particular meetings featured a diversity and inclusion focused workshop, where our team provided a user-friendly, interactive solution that enabled healthcare professionals to discuss, brainstorm and share their experiences and recommendations from a patient recruitment perspective.
Digital strategy and implementation
SWM Partners’ digital department developed and managed a tailored virtual portal for the hybrid meeting, which featured exclusive content for remote delegates, and provided plentiful opportunities for interaction with their physical counterparts.
They recorded the meetings as they unfolded and edited them into presentation and training modules, which delegates can access post-event, along with those healthcare professionals who were unable to attend either physically or remotely.
Our team also supported select speakers, by capturing and editing pre-recorded presentations, and managing the output of this content as it aired.
