The incentive was made special right from the start by chartering private flights from a central European city which meant our group could fly at the times that suited them. Activities included a donkey trek, paella making and orienteering trip to Mount Teide, the third largest volcano in the world.  Other highlights Included themed restaurant evenings, 'dine-around' meals, wine tasting and Flamenco dancing.

Retail product launch and charity event

SWM Partners worked with well-known high street chains, bespoke designers and individual boutiques to help put on a truly memorable event to showcase their summer collections. Our design and production team created a host of really eye catching marketing materials to promote the event as well as a professional stage set that included lighting, projection, sound and live camera work. The live video footage was novelly mixed with graphic images and projected onto the screen behind the models so that everyone could see every last piece of detail of their clothing making them really stand out. We also threw in a few special effects like infinity shots which all added to the experience of the show. The evening raised over £5000 towards the charities of Riding for the Disabled Association and Great Ormond Street Hospital.

improving qualitative reporting in psychiatric trials

Our client was looking for ways to ensure a consistent study wide approach was taken to the assessment of patients participating in a drug trial for their treatment of obsessive compulsive disorder (OCD). The trial data were going to be reviewed by an independent panel of specialists who required a narrative to help support patient scores that trail physicians ascribed to the patients using standard instruments. As part of an Investigator Meeting for 140 delegates, a specific training session for the study physicians with responsibility for rating the patients was set up using example Patient Case videos. As well as scoring the patients, the physicians were asked to provide the narrative electronically, in real time justifying their score. The trainer was then able to display on-screen, examples of the narratives that had been submitted enabling discussion about what made a good narrative. As all responses were anonymous this allowed for a free and open exchange of views. The training lead was excited with this approach and planned to use this method for training at future meetings.

combining multiple protocols to reduce on-site meeting time of doctors and meetings costs

The SWM team knew there was a better way of running 3 separate investigator meetings after careful analysis of the protocols revealed there were elements of the meetings that could be combined. With over 200 clinicians involved the opportunity to save valuable doctors time as well as travel and hotel cost by consolidating the 3 meetings into a single meeting was significant. Site teams needed to attend either 1, 2 or all 3 studies and in any combination. Creating the meeting agenda, scheduling the sessions, combined with the logistics of getting people in an out of the venue was key to ensuring people weren’t wasting any time as well as covering all their individual meeting requirements. SWM designed a 5 days programme with a series of 16 rolling protocol sessions and operational sessions that covered the common elements of the studies and 24 breakout sessions to cover the study specific elements. A system of colour coded meeting rooms helped the process run smoothly and any problems were dealt with by the SWM scientific and event on site team. All the pre-planning meant that the 3 protocols could be covered in 1 week saving 4 to 5 days of travel time.

Run at both locations, the hotel meeting spaces were transformed into showrooms with discrete areas to showcase the specific product lines. Groups of 20/30 dealers and journalists at a time were taken through a fully immersive experience over a three day period. Delegates were able to get hands on experience of the products supported with video imagery, technical and marketing support.   Event services included delegate registration, VIP journalist package, on-site registration and information desk, flights, accommodation and transfers and a programme of break out meetings and evening networking events.

A three day event providing full logistic support for inbound/outbound flights from 20 Chinese cities, local transfers, hotel accommodation and meeting space. Provision of branded staging and production set which included interactive keypads for the delegates to enable them to vote on key points, submit real time questions and to measure participant understanding on issues core to the success of the study. To enable the meeting to be run for both English and Chinese speakers a full translation service of meeting materials, presentation slides and real time questions was provided.

Our client understood that the success of a global clinical study involving collaboration between several academic research groups and an international pharma company was completely reliant on clear communication pathways and harmonised operational procedures. Together we devised a programme for the global study team’s kick off meeting which aimed at understanding each other’s challenges and varying methods of operation and from there, building a transparent and clear approach to their mutual collaboration. An agenda which incorporated icebreakers, interactive discussion and team activity formed the basis for a format that was successfully rolled at all the subsequent team workshops throughout the rest of the investigator meeting series. Everyone including the local country teams, were given a say and issues were brought to the fore. This combined with the fun team activities proved a truly effective way to forge lasting relationships within this cross organisational and cross company global team.
